Digital Product Sales Tracker Spreadsheet
See recorded sales, refunds, order fees and support time together by product. This digital product sales tracker spreadsheet helps solo creators combine manually entered records from several selling platforms in one reporting currency. You receive blank and completed eight-tab XLSX workbooks, practical PDF guides and a 30-order worked example.
What you receive: eight customer files
- Start Guide.pdf — four-page file map and six-step setup.
- Blank Sales Refund and Support Tracker.xlsx — editable eight-tab tracker for your own records.
- Completed Sales Refund and Support Tracker.xlsx — eight-tab example with 30 illustrative orders across two channels.
- Google Sheets Setup.pdf — two-page XLSX import and comparison guide.
- Worked Example.pdf — six-page walkthrough of partial refunds, fees and monthly totals.
- License.txt — own-business use and source-sharing limits.
- File Manifest.csv — complete eight-file inventory.
- Support and Changelog.txt — file support route and version notes.
Each workbook contains Start, Products, Sales, Refunds, Fees, Support, Monthly Summary and Examples. Register up to 20 products and use 100 input rows in each event log. Amber cells accept your entries; sage cells calculate. Keep an untouched source and make a working copy for your records.
A worked example: 30 orders across two channels
The completed digital download revenue tracker records 30 illustrative Etsy and Shopify orders for three fictional products. Follow two partial refunds on one order, other refunds, order-fee charges, a fee credit and six support interactions. The six-page walkthrough reconciles the monthly totals and shows how an October refund on a September sale appears in October. All example transactions, product names and exchange rates are synthetic.
How to use the digital product sales tracker spreadsheet
- Read the example and set your reporting currency and first day of the month.
- Register each product with a stable, unique product ID.
- Enter one product per order, using globally unique order IDs across channels.
- Link refunds and fees to the original sale; select Charge or Credit for fees.
- Record product-level support minutes, with an optional matching order link.
- Resolve input flags, check source records and review Monthly Summary.
The creator refund tracker flags duplicate order IDs, missing references and cumulative partial refunds above the original sale amount. Refunds use the original sale currency and their own manually entered conversion rate. Invalid recorded rows hold monthly totals as n.a. until resolved, so review warnings before relying on a summary.
Know what the monthly figures mean
Recorded net = sales minus dated refunds minus net order fees. Support minutes remain a separate measure. This is an activity record, with sales, refunds, fees and support grouped by their own event dates. A refund for an earlier order can make a later month negative. Minutes per order divides the selected month’s support time by its new-order count; it is not a support-ticket cohort measure.
Sales amounts exclude tax and follow discounts. Use one reporting currency, FX 1 for that currency, and your own dated conversion inputs for foreign events. This tracker does not calculate formal profit, tax returns, general expenses or platform payouts. It does not allocate multi-product orders. Keep original orders in the same workbook when recording later refunds.
Tools, editing and Google Sheets setup
The editable delivery is XLSX, with PDF reading guides. Blank, completed and input-change copies were opened and recalculated in local LibreOffice Calc. The included guide supports a digital product sales Google Sheets workflow by explaining your own XLSX import and comparison checks. That online route needs a Google account and internet; no hosted Google Sheet is included. Native Sheets, retail Excel and specific device workflows have not been verified. Check formulas, dates, dropdowns and formatting after conversion.
No macros, paid add-ons, Canva or Notion templates are required by the supplied files. Entries and currency conversion rates are manual. The kit does not import transactions, connect to your shop or provide automatic integrations.
Who it fits and when another tool fits better
Use this kit if you sell digital products across several platforms and want a product-level record of sales, refunds, order fees and support time. It fits a solo creator who can enter or prepare source records manually and review them against platform statements.
For broad income, expenses and cash flow, choose a general business finance dashboard. For tax filing, formal accounts, multi-product order allocation, automated imports or payout reconciliation, use an appropriate accounting or integration tool. This kit focuses on digital-product records and support effort.
