Job Application Tracker & 10 Follow-Up Email Templates — Excel & Google Sheets, Word & Docs — XLSX, DOCX, PDF & TXT — Instant Download
Instant download after payment · Secure checkout · Files are yours forever
Which application needs your attention today, and what should you say next? This job application tracker keeps roles, statuses, next actions, follow-up dates, interviews and offers in one editable workbook. Ten follow-up and thank-you email templates give you a starting point when it is time to write. Update a row, check the next date and send a message you have personalised yourself.
Built for job seekers who prefer Excel or Google Sheets, the pack combines a practical spreadsheet with Word, PDF and plain-text email files. Upload the XLSX and DOCX to your own Google Drive to use them in Sheets and Docs. This edition supplies editable files rather than hosted make-a-copy links.
Why You'll Love It
- The next action stays visible: give each open role a specific task and date instead of relying on your inbox or memory.
- Date highlighting helps you review: overdue next-action dates turn pink and dates due today turn gold. Closed records stop triggering alerts.
- Status dropdowns keep entries consistent: choose Saved, Applied, Screening, Interview, Offer and the relevant closed outcome.
- Interviews have their own log: record the round, time zone, preparation, permitted notes, thank-you date and next step.
- Compare the details of offers: keep annual pay, currency, leave, work arrangements, deadlines and personal priorities together.
- Ten emails to adapt: follow-ups, thank-you notes, networking, referrals and offer decisions each have their own wording.
- Weekly goals are yours to choose: use editable targets, a calculated application count and a short review to plan the next week.

Pick Your Workbook View
- Applications: one row per role, with an App ID, vacancy link, applied date, status, next action and date, contact, resume version and notes. A calculated column flags missing details and duplicate IDs.
- Weekly review: choose a week start date and your targets. Applications submitted is calculated from Applied date; enter follow-up-email and preparation-session actuals manually.
- Interviews: connect rounds to an application with the same App ID. Record preparation and next steps without losing the context.
- Offers: compare the terms you have actually received. Annual cash total adds supplied base and bonus only, in the labelled currency.
- Read me: setup steps, input ranges, date colours, filtering, sorting and Google Sheets import checks.
Email Templates Included
- Follow up after applying.
- Check a promised update.
- Thank you after an interview.

Who Is This For?
- Students and freshers managing their first applications and interviews.
- Career changers applying across several roles or industries.
- Busy job seekers who want a spreadsheet view of what is open.
- Applicants returning to work who want a repeatable weekly routine.
- Job seekers in India, the US or UK who will use their own dates, currency and employer instructions.
How It Works
- Download and extract the customer ZIP.
- Open the workbook in Excel, or upload XLSX to your own Google Drive for Google Sheets.
- Clear the fictional examples as shown in Read me, then enter your real applications and next actions.
- Review and write: check due dates, choose an appropriate email template, personalise it and send from your own account. Update the row afterwards.
The Follow-Up Rule: Check the Timeline First
Start with the employer’s stated process, contact route and expected update date. A tracker alert means “review this action”. It does not mean you should send repeated messages. If an agreed update point has passed, the promised-update or interview-outcome template helps you ask a brief question about timing. If no timeline was given, choose a review date for the situation and respect any instruction not to follow up.
Google Sheets vs Excel
The supplied workbook is XLSX. Open it in Excel or upload it to your own Google Drive and open with Google Sheets. It uses ordinary formulas, dropdowns and conditional formatting, with no macros, scripts or paid add-ons. After conversion, check the Status list, dates, formula results and date colours on a test row. Hosted Google Sheets make-a-copy links are not included in this edition.
The emails use the same approach: open DOCX in Word or upload it to Google Docs, or copy from PDF or TXT. Hosted Google Docs copy links are not included. Editing is easiest on a computer, especially when working across the workbook’s columns.
What the Tracker Calculates
The Applications sheet counts recorded roles, overdue actions, actions due today and records needing details. Its Action status depends on your inputs and current date. Weekly review counts dated applications in your selected week. The offer total adds annual base and annual cash bonus only; unknown inputs remain visibly incomplete. Compare monetary values on the same currency and annual basis.
The file does not read emails or job boards, update applications, send messages or push reminders. You maintain the records and choose the next step. Prepared capacity is 250 applications, 100 interviews and 10 offers; extending it requires copying the relevant formatting and formulas and expanding bounded summary ranges.

Questions, Answered
How do I track job applications?
Keep one row per role with a stable App ID, company, role, applied date, current status, next action and next-action date. Add the resume version and contact when useful. This workbook has 250 prepared application rows, plus separate interview and offer records. Update the main row when something changes and review open actions each week.
How long should I wait to follow up on a job application?
Start with the employer’s stated timeline and contact instructions. If a promised update date has passed, a brief timing question may be appropriate. If no timeline was given, choose a review date for the situation. The tracker lets you set dates; it does not prescribe one waiting period for every employer or override a request not to contact them.
What should I say in a follow-up email after an interview?
Name the role and interview date, refer to the actual next step or timeline discussed and ask briefly whether there is an update. Template 04 provides that structure. Template 03 is a separate thank-you note that refers to one real discussion point. Replace every bracket and remove claims or details that do not apply to you.
Is a spreadsheet good for tracking a job search?
It can be useful if you want to see your own records together and are willing to keep them current. This pack uses tables, dropdowns, date highlights and ordinary formulas. It does not connect to job boards, read your email or update a role automatically. You control the entries and send each message yourself.
How many jobs should I apply to per week?
Choose a target that fits your available time, the number of suitable vacancies and the work needed for each application. The workbook’s preset weekly targets are editable examples, not recommended quotas. Applications submitted is calculated from Applied date; follow-up-email and interview-preparation actuals are entered manually. Use the weekly reflection to decide what to change.
Does this include a Google Sheets make-a-copy link?
This edition includes an editable XLSX that you upload to your own Google Drive and open with Google Sheets. Hosted Google Sheets make-a-copy links are not included. After import, check the Status dropdown, date formats, formula results and pink/gold next-action highlights on a test row. The guide explains the steps.
Does it send reminders or follow-up emails automatically?
No. The workbook highlights next-action dates while you use it, and the email files supply editable wording. It does not send email, push notifications, calendar invitations or scheduled reminders. You decide whether contact is appropriate, personalise a template, verify the recipient and send it from your own email account.
What do the follow-up date colours mean?
A next-action date is pink when the calculated Action status is Overdue and gold when it is Due today. Future actions show Scheduled. Accepted, Declined, Rejected, Withdrawn and Closed are treated as closed statuses and do not trigger date alerts. Missing details or a duplicate App ID produce a visible action message instead.
How many applications, interviews and offers can I track?
The supplied workbook has 250 prepared application rows, 100 interview rows and 10 offer rows. You can extend it by copying the last formatted row with its formulas, dropdowns and conditional formatting, expanding the table and updating bounded summary ranges. The guide explains this; it is not advertised as an unlimited ready-prepared tracker.
Which email templates are included?
The ten templates cover application follow-up, checking a promised update, interview thank-you, interview outcome, networking introduction, referral request, application withdrawal, salary discussion, offer acceptance and offer decline. Each has a subject, message and use note. The same ten appear in editable DOCX, an 11-page PDF and a complete TXT copy.
Can I edit the emails in Google Docs?
Yes. Upload Follow_Up_Email_Templates.docx to your own Google Drive and open with Google Docs, then save your copy. You can also use Word, or copy from PDF or TXT. Hosted Google Docs make-a-copy links are not included in this edition. Replace every bracket and check the final message before sending.
How does the offer comparison work?
Record annual base pay and annual cash bonus in the labelled currency. Annual cash total adds those two inputs only. A blank bonus means unknown; enter zero only for a confirmed zero. Compare totals on the same annual basis and currency. Benefits, equity, deductions and exchange rates are not valued, and the sheet does not choose an offer for you.
Does this include Canva or a resume template?
No Canva access is required or included. This pack contains a tracking workbook, email templates, an Access Guide, a printable Weekly Review and Start Here instructions. It does not include resume layouts or cover-letter templates. The ATS Resume Template Pack is a separate option if you also need an editable application document.
Is this a physical product or a job guarantee?
It is a digital download; nothing is shipped. One customer ZIP contains seven files for personal use in your own job search. The demonstration companies, jobs and contacts are fictional. No response, interview, offer, salary outcome or job is guaranteed. Please do not share, resell or redistribute the files. File support: waohhartz@gmail.com.
