Six practical planning tabs

  • Capacity: set your first week start and time-zone label; separate available hours, other work, review reserve, assigned hours and remaining capacity.
  • Deliverables: define unique tasks, finish points, work type, priority, owner, optional due date and progress.
  • Effort Estimate: estimate build and review time separately and calculate the recorded total.
  • Weekly Sprint: assign exact weeks and actions, split a task across weeks and review both input and capacity warnings.
  • Blockers: record issues, owners, next actions and review dates.
  • Actual vs Plan: record cumulative actual hours once per task and compare them with estimated and scheduled effort.

How can I fit one digital-product build into available time and review capacity?

Start with the hours you actually have. Subtract other commitments and reserve review time before assigning build work. Break the product into tasks with visible finish points, estimate both hour categories, then move or reduce work when a week is overbooked. This creator sprint planner highlights build and review overload separately, including a negative remaining-hours result.

The sample allocates 18 build hours and 5.5 review hours across five active weeks. Week five reserves 1.5 review hours to fit its heavier review work inside six available hours. These are illustrative estimates, not a completion-time promise. First-week actuals exceed their matching plan by 0.5 hours, demonstrating how to review estimates.

What should I look for in a digital product production planner?

Choose a product creation schedule template that distinguishes weekly availability from assigned work, reserves review effort, keeps incomplete data visible and matches actuals to the same tasks as estimates. This part-time creator planner supplies those fields and warnings, alongside an example and instructions. It covers production capacity; marketing calendars, launch budgets and pricing decisions need their own workflows.

Use the files in six steps

  1. Extract the ZIP and read the quick start and completed example.
  2. Copy the blank workbook; set the first week-start date, time-zone label and available hours.
  3. Define unique deliverable tasks and finish points.
  4. Estimate build and review hours per task.
  5. Assign weekly actions and resolve capacity warnings.
  6. Review blockers, enter cumulative actuals and adjust later work from what you learn.

What workflow can I use without a paid software subscription?

Use LibreOffice Calc and a PDF reader locally. No macro or paid add-on is required. Google Sheets import is optional and uses your own Google account and internet; a setup guide and expected-result checks are supplied. Microsoft Excel is optional and may require payment. The ZIP provides actual local files, rather than a hosted template link. Compatible local files can be used offline after downloading.

Calculations, compatibility and limits

Blank hours mean unknown; zero and decimal hours are valid. Amber cells are editable, violet cells calculate, and no panes are frozen. Twenty consecutive Capacity weeks and 20 prepared rows per tab are supplied. Extending the planner requires extending formulas, validation, totals and cross-tab ranges.

Overbooking warnings remain visible while editing; they do not block changes or automatically move tasks. Capacity counts valid numeric hours for matching dates even when the task name needs review. Invalid hour rows are excluded and flagged. Weekly Sprint totals include valid numeric hour pairs, so review all mapping warnings before interpreting totals. Actuals are entered once per task. Variance totals compare only recorded actuals with numeric matching plans; pending and n.a. rows need review.

Blockers and due dates are manual planning fields. The workbook does not automatically enforce deadlines, reassess dependencies, convert time zones or resolve source permissions. Local LibreOffice recalculation checks cover blanks, zero, decimals, negative/text inputs, overloads, missing/duplicate tasks and 20-row totals. Native Google Sheets conversion, Microsoft Excel desktop, mobile editing, physical printing and device-specific extraction are untested. Use the supplied disposable checks after importing.

Frequently asked questions

1. Which files are included?
Eight files: blank and completed six-tab XLSX planners, three four-page PDF guides, licence, support/changelog notes and a CSV manifest. The completed example schedules an ebook; it does not include a finished ebook.

2. Can I edit them using free tools?
Yes. LibreOffice Calc provides a local spreadsheet route, with a PDF reader for guides. Optional Google Sheets import requires your own account and internet. No paid add-on or macro is required. Test converted copies with the setup guide.

3. How do I start with the digital product production planner?
Study the ebook schedule, copy the blank workbook and set Capacity B32 to your first week-start date. Enter your available, other-work and review-reserve hours. Define one build task and one review task, estimate effort and schedule them. Check capacity warnings before committing.

4. Does the ZIP contain editable files or access links?
It contains actual XLSX, PDF, TXT and CSV files. The XLSX workbooks are editable. PDFs are selectable-text instructions rather than fillable forms. No hosted account or native Google Sheets link is supplied.

5. Can I use my completed work commercially?
One purchaser or business may use the toolkit internally for its own original commercial products and client projects. Original completed project outputs may be delivered with appropriate rights. Do not resell, redistribute or publicly share the reusable source toolkit, guides or example. No PLR is granted; read LICENSE.txt.

6. What support and updates are included?
Email waohhartz@gmail.com for supplied-file opening, fields and formulas. Include filename, app/version and cell/page. Custom product building, integrations, account recovery and bespoke automation are outside scope. Version 1.0 includes support and changelog notes; no response-time or lifetime-update promise is made.
