This asset license tracker for creators is an editable source and licence register for digital product creators and template sellers. Record where your fonts, graphics, stock images and AI-assisted assets came from, keep references to saved licence evidence, document each intended product use, and follow up on review dates and unanswered permission questions.

Use it when you are preparing a printable, editable template or other digital download and need a clear record of the assets used in the product and its listing images.

Keep asset sources and licence evidence together

  • Connect each asset to its provider, source URL or file path and purchase or creation record.
  • Record dated licence snapshots, relevant clauses and restrictions that need checking.
  • Review each intended use separately, including a listing preview, flattened document or editable customer template.
  • Keep unresolved questions visible with an owner, due date and evidence-backed answer.
  • Plan expiry and review reminders using a review-as-of date you control.

What you receive

One ZIP containing 11 files:

  • Two editable XLSX workbooks: a blank asset register and a completed fictional example. Each has six tabs and 20 prepared record rows per tab.
  • One editable 10-page DOCX guide: practical prompts and space to record your asset review notes.
  • Five PDFs: the 10-page guide in A4 and US Letter, a four-page quick start, a four-page Google Sheets setup guide and a four-page worked example.
  • Two TXT files: toolkit licence, support and version notes.
  • One CSV file manifest: the complete file list.

Six tabs for a complete asset record

  • Asset Inventory: asset names, types, creators or owners and unresolved question counts.
  • Source Links: providers, source locations, receipt references and dates checked.
  • Licence Evidence: saved snapshot references, capture dates, relevant terms and restrictions to investigate.
  • Product Use: product versions, intended uses, recorded permission reviews and supporting evidence.
  • Expiry Review: expiry basis, next review dates and date reminders.
  • Open Questions: questions, owners, due dates, answers and evidence references.

Who this licence register helps

Designed for digital product creators, printable makers, Canva template sellers and other template businesses that use their own or third-party assets. It is especially useful when the same font, graphic or stock image appears in several products or delivery formats.

Start with a worked example

  1. Extract the ZIP and explore the completed workbook.
  2. Follow the fictional original icon, font and stock-photo records.
  3. Save your own copy of the blank register and add one real asset.
  4. Record its source, saved evidence and precise intended use.
  5. Review unanswered questions and update the review-as-of date before your next release.

The example shows why a listing-preview use and a standalone download need separate records. Its font-template use stays unresolved until further evidence is obtained. All sample providers, terms and paths are fictional teaching records.

Software and delivery

This is a digital download; no physical item is shipped. Use the XLSX files with compatible spreadsheet software and edit the DOCX with compatible document software. Google Sheets requires your own Google account and importing the supplied XLSX. Import instructions are included; there is no hosted Google Sheets template link. The PDFs are static printable guides and worksheets.

Frequently asked questions

What is an asset license tracker for creators?

It is a record of each asset’s origin, saved licence evidence, intended product uses and questions that still need checking. This template helps you maintain those records in a six-tab workbook.

Does this tell me whether a font or image is legally safe to use?

No. This is an evidence register, not legal advice, a contract or a rights guarantee. You review the actual provider terms for your intended use. Unknown permissions remain unresolved; the workbook does not calculate a legal clearance score.

Can I track fonts, stock images and AI-assisted assets?

Yes. Record their sources, relevant terms, creation or purchase details and intended uses. You supply and verify the evidence. No font files, stock images, graphics or third-party licence rights are included.

Can I use the tracker for Canva templates and printables?

Yes. Record the asset and the exact delivery context, such as an editable customer template or flattened printable. The toolkit does not replace checking the terms that apply to your assets, account and intended use.

Does it work with Excel and Google Sheets?

The supplied workbooks are XLSX files. Use compatible spreadsheet software, or import them into Google Sheets with the included setup guide. Check the imported example outputs before entering your own records.

How many records are prepared?

Each of the six tabs has 20 prepared record rows. Use a fresh workbook copy for another batch. Adding capacity requires extending the related formulas and validation ranges together.

Does the workbook store or automatically check licence documents?

It stores your references to evidence in your own folders or cloud storage. It does not embed attachments, verify provider terms or check links automatically. Date reminders use the editable review-as-of date in the workbook.

Can I use this for my business and client projects?

One purchaser or business may use the toolkit internally for its own products and client projects, and share completed project records with the people involved. Reselling or redistributing the reusable source toolkit is not permitted. Read the included licence for details.
