Digital Asset Tracker Spreadsheet for Digital Product Creators | Instant Download
Instant download after payment · Secure checkout · Files are yours forever
This digital asset tracker spreadsheet helps digital product creators find approved master files, follow template versions and record the exact ZIP delivered to customers. Use it as a digital product file organizer for Canva templates, ebooks and printables, with a linked Notion asset library for your file records.
Find the right file before you send it
Keep product names, owners, source records and file locations together. Select the approved master and latest customer ZIP for each product, then trace revisions and release links from the same library.
- Organise masters, exported files, licence records and customer ZIPs.
- Track revision numbers, review dates and approval evidence.
- See selected master and ZIP locations in the spreadsheet.
- Review duplicate identifiers, repeated exact locations and recorded expiry dates.
- Record manual delivery-link checks and the package used for each release.
What you receive
One ZIP with 15 files, plus access instructions for the linked Notion workspace:
- 2 editable XLSX workbooks: a blank template and a completed example. Each contains Products, Assets, Versions and Release Links, with 20 prepared input rows per tab.
- Linked Notion workspace: four related databases, approval rollups and dashboard views.
- 5 PDF guides: quick start, Google Sheets setup, Notion access, Notion rebuild and a worked example.
- 4 CSV backups and 1 Markdown workspace guide: illustrative records, database schemas and rebuild instructions.
- Licence, support notes and file manifest: 2 TXT files and 1 manifest CSV.

Follow one fictional Weekly Planner through a Canva master, PDF export, font licence record and customer ZIP. The master moves from retired revision 1 to approved revision 2, while the selected customer ZIP stays revision 1. The example delivery link remains Pending so you can see what needs checking. Example records do not include a finished planner, Canva design or font.
Who this is for
Digital product sellers, Canva template creators, ebook and printable creators, and small creative teams managing editable masters and customer downloads. This template version tracker is useful when similarly named files make it difficult to identify the approved original and the latest deliverable.
How to start
- Download and extract the ZIP.
- Open the completed example, then use the blank workbook or duplicate the Notion workspace into a private copy.
- Add a product name, descriptive key, audience and owner.
- Record assets, locations and source-rights evidence.
- Add file revisions and choose the reviewed master and customer ZIP.
- Open the actual customer link, record its result and date, and save your library.
Tools and access
Use the supplied XLSX locally with LibreOffice Calc, or follow the guide to import it into Google Sheets using your own Google account. Google Sheets import instructions are included; account-specific conversion should be checked after import. Excel is optional. Notion needs your own account and internet access for duplication.
Your spreadsheet and Notion copy are separate records and do not synchronise. The toolkit records file locations; it does not host files, move them, monitor URLs or verify licences. Link checks and source-rights review remain manual. CSV backups preserve example records but require the included rebuild steps to restore relations, views, formulas and rollups.
Questions before buying
Which files are included?
You receive the blank and completed four-tab spreadsheets, five PDF guides, four CSV backups, a Markdown workspace guide, licence and support notes, and a file manifest. Notion access instructions are included in the ZIP.
Can I edit them using free tools?
The XLSX route can be used with LibreOffice Calc. Google Sheets requires your own Google account. Notion requires your own account for a private duplicate. The toolkit does not require Notion AI or an automated integration.
How do I start with this digital asset tracker spreadsheet?
Read the quick start and open the completed example. Add one real product, its master and its customer ZIP to a private working copy. Select the reviewed version records, then open and check the actual files.
Does the ZIP contain editable files or access links?
Both: editable XLSX workbooks and CSV records, plus a PDF with the Notion workspace entry link. Online Notion duplication is a separate setup step. CSV import alone does not restore the linked workspace.
Can I use my completed work commercially?
One purchaser or business may use and edit the toolkit internally for its own original commercial products and client projects. You may deliver your own completed inventory outputs with appropriate rights. Resale or redistribution of the reusable source toolkit and Notion template is prohibited. Read the included licence for permitted use.
What support and updates are included?
Contact waohhartz@gmail.com for help opening supplied files and understanding fields, formulas and rebuild instructions. Custom integrations and account recovery are outside support. The included changelog records this version; lifetime updates are not promised.
Keep the files for every digital product easy to identify, review and deliver. Digital download; no physical item.
